When a university has to hire a dedicated director just to manage their CRM, that's not a success story — that's a warning label.
Brandeis University just posted a role called "Assistant Director, Admissions Systems & CRM Solutions." The job exists to wrangle their CRM into doing what the admissions team actually needs. Someone's entire salary, benefits, and onboarding time — dedicated to making the software work the way the business works.
This isn't unique to higher ed. Mid-market ops leaders do the same thing with a different job title. You hire a "CRM admin." Or you lean on a consultant. Or you build an internal workaround team. The cost is real, it's just spread thin enough that it doesn't show up as a single line item.
If your CRM requires a specialist just to keep it functional for your team, the problem isn't your team. The tool doesn't fit. Every workaround, every internal hire, every consultant engagement is the software quietly charging you a recurring fee for being the wrong size.
You've already paid that fee in time, headcount, and frustrated teams. The question is whether you keep paying it or find something that actually fits how you run.
A CRM that fits shouldn't require a full-time interpreter between your team and your data.
